GENERAL INFORMATION ABOUT PROPOSAL SUBMISSION FOLLOWS



  • Proposal Deadline: Monday, November 14, 2011
  • Proposal types. The AATSP Conference consists of a variety of sessions, workshops, papers, presentations and events. Before submitting a proposal, please read the descriptions of the Proposal Types carefully. You will be asked to select from one of the following proposal categories before you can submit a proposal.
    • Session
    • Workshop
    • Academic Paper or Panel of Academic Papers
    • Electronic Poster Presentation
    • Continuing Session
    • Exhibitor Session
    • Special Event
  • Acceptance rate. Two-thirds of the proposals submitted for the 2011 conference were included in the final program.
  • Acceptance date. The AATSP will inform you in early 2012 whether or not your proposal has been accepted.
  • Scheduling date. Presenters will be notified of the date and time of their presentation by early spring 2012.
  • Conference dates. The conference is July 7-10, 2012 in San Juan, Puerto Rico. Please check your personal calendar and ensure you are available to present during these dates and in this location before you submit your proposal.


Proposal Types

Session (30 minutes or 75 minutes)

  • A session treats topics related to the teaching and learning of language, literature, linguistics and/or culture of the Spanish- or Portuguese-speaking world.
  • Sessions can have one to three presenters who explain or describe the topic in an engaging format to the attendees; discussion and audience participation is encouraged. 
  • A session can be 30 minutes or 75 minutes in length.
  • Session presenters should avoid reading a paper to the attendees.
  • Sessions submitted on similar topics may be combined by the AATSP into 75-minute sessions, in which case the presenters are informed and are expected to share the allotted time.

Workshop (3 hours or 6 hours)

  • Workshops are 3 hours (half day) or 6 hours (full day) in length and treat topics related to curriculum and instruction in more depth than is possible during a 30- or 75-minute session.
  • Workshops can have one to three presenters.
  • Attendees pay an additional fee to attend the workshop and expect to receive an in-depth treatment of the topic and handouts to use as classroom resources.
  • Workshops should be interactive and allow the attendees time to practice the concepts and ideas presented. 
  • Only a limited number of workshop proposals are accepted each year.

Academic Paper (30 minutes) or Panel of Academic Papers (75 minutes)

  • Academic papers present research about a topic relating to language, literature, culture or linguistics.
  • An academic paper is 15-20 minutes in length and is read aloud to the audience.
  • An academic panel lasts 75 minutes and consists of 2-4 academic papers treating a similar theme or topic.
  • There should be time for questions and discussion after papers have been read.
  • We encourage the submission of papers as a panel of three or four presenters. A chair, selected by the panel members, is responsible for submitting the proposal and all information concerning the panel. During the panel presentation, the chair serves as the moderator for the session. The chair may also read a paper during the session.
  • We also accept academic papers submitted by individuals who have not formed a panel. In this case, the AATSP Conference Program Staff may form panels by combining individual submissions that treat similar topics. Once combined, the newly formed panel members will select a chair for the panel.
  • Some academic papers concern unique topics and cannot be combined. They will be presented alone, in 30-minute sessions.

Electronic Poster Presentation (30 minutes)

  • AATSP poster presentations use an electronic format operated from a laptop computer as opposed to a traditional format using poster boards. A Poster Presentation consists of a brief outline of the important features or concepts of a research project, lesson plan, classroom materials, and/or cultural update.
  • Posters are an effective way to discuss model projects and/or preliminary research results.
  • One to three presenters will prepare a PowerPoint presentation of their topic. The PowerPoint presentation will be projected onto a screen using a laptop computer and data (LCD) projector.
  • The PowerPoint Presentation will consist of
    • A written presentation consisting of a maximum of five (5) PowerPoint slides
    • An oral presentation to accompany the PowerPoint presentation lasting a maximum of five (5) minutes
  • During the 30 minute session the presenter(s) will stand by their computer and give their presentation to a small audience (generally 1-5 people at a time).
  • The attendees will listen to the brief presentation and further discuss the topic with the presenter(s).
  • The presentation may be repeated 5-6 times during the 30-minute session giving several attendees the opportunity to interact one-on-one with the presenter(s).
  • Presenters may provide handouts that provide additional information for the attendees.
  • Presenters will bring their own laptop computer for the Poster Presentation.
  • The AATSP will provide the data projector, screen and a small table for holding the laptop.

Continuing Session (75 minutes)

  • A Continuing Session lasts 75 minutes and consists of 2-4 academic papers treating a topic that has been pre-approved.
  • The topics that have been pre-approved for 2012 are the following:
    • Spanish in the US
    • Service Learning / Community Engagement
    • Film
    • Articulation
    • Teaching of Literature
    • Portuguese Language Acquisition and Pedagogy
    • Luso-Brazilian Cinema
    • Portuguese Translation
    • Luso-Brazilian Literature and Performing Arts
    • Portuguese Language Program Development
    • Portuguese Linguistics
  • Each Continuing Session has an approved chair.
    • The Chair is responsible for submitting the proposal and all information concerning the panel of papers.
    • The Chair serves as the moderator during the Continuing Session at the conference.
    • The Chair may also read a paper during the Continuing Session.
  • There should be time allotted for questions and discussion after papers have been read.
  • SPECIAL NOTE: Individuals who wish to submit a panel of academic papers on a topic not listed above should submit their proposal as an Academic Panel.

Exhibitor Session (30 minutes or 75 minutes)

  • All conference exhibitors are entitled to one 30-minute or one 75-minute session during which they may present information related to the product or service they offer.
  • Exhibitors receive this opportunity as a means to augment their booth rental and presence in the exhibit hall.
  • The topic should be related to the teaching and learning of language, literature, linguistics and/or culture of the Spanish- or Portuguese-speaking world.
  • The conference program clearly labels exhibitor sessions.
  • No financial transaction may take place during the session and no products may be sold during the session.

Special Event Request

  • Special events (committee meetings, business meetings, receptions, author sessions or musical events) need to be scheduled during the annual conference
  • A Special Event Request Form is available and must be submitted to the AATSP.
  • Details regarding the amount of time the event requires, how many people are expected, the type of room set up required, any audio visual needs or electronic needs, catering needs and budget, and other pertinent information must be provided.
  • For committee or business meetings, please make every effort to follow the conference schedule and plan for a 30 minute or 75 minute timeframe.
  • The person submitting the special events proposal will be responsible for expenses not approved in advance by the AATSP.
